Role Purpose
The Inbound Manager – Groups, Luxury & Product Contracting is a senior, on-shore operational leadership role responsible for the end-to-end delivery, commercial integrity, and quality control of all group and luxury bookings in Japan.

The role exists to protect margin, delivery quality, and agent confidence across:
• ad-hoc groups
• group series
• high-value / VIP / luxury FIT bookings

This position owns group quotations, group operations, and selective product contracting, ensuring Japan is equipped to handle increasing complexity and volume without operational or reputational risk.

    Reporting Line
    • Reports to: Inbound Manager Japan & Korea
    • Onshore Direct Reports:
    o Group Operations
    o Senior Operations
    o Dedicated Group Quotations Executive

    While reporting into Inbound Manager Japan & Korea, this role has clear operational authority over all group and luxury workflows and works cross-functionally with Sales, Product, Finance, and Customer Service.

    Key Responsibilities
    1. Groups – Commercial Ownership & Delivery (Core)
    • Own all group business for Japan from quote to post-travel review:
    o ad-hoc leisure groups
    o group series
    o high-value incentive / special interest groups
    • Lead and approve:
    o group quotations
    o pricing structure and margin buffers
    o feasibility checks and cut-off management
    • Enforce group rules:
    o booking deadlines
    o approved suppliers
    o escalation protocols
    • Act as final escalation point for:
    o complex itineraries
    o last-minute risks
    o supplier or guide issues

    Success measure:
    Zero misquoted groups, protected margins, and consistent delivery quality.

    2. Luxury & VIP Bookings
    • Oversee all high-value and VIP bookings (USD 10k+ or equivalent):
    o validate feasibility
    o confirm service quality
    o ensure supplier readiness
    • Ensure luxury bookings are treated with group-level discipline, not standard FIT processes.
    • Support Sales and Ops teams in structuring realistic, deliverable luxury itineraries.

    3. Product Contracting (Selective, Strategic)
    • Lead selective ground and hotel contracting for Japan where there is:
    o clear volume (groups, FPP, repeat series)
    o measurable commercial benefit
    • Focus on:
    o group-friendly hotels
    o key guides / guiding companies
    o transport suppliers used repeatedly for groups
    • Maintain a tight, rationalised supplier base:
    o prioritise high-performing suppliers
    o recommend deactivation of low-use / high-risk suppliers
    • Work closely with the wider Japan team to support:
    o product gaps
    o peak-season availability
    o rate consistency
    This role is not responsible for broad FIT hotel contracting — only targeted, high-impact contracting tied to groups and luxury demand.

    4. Supplier, Guide & Quality Control
    • Meet suppliers regularly (on-site where possible):
    o hotels
    o transport companies
    o guiding partners
    • Brief, vet, and review guides provided by suppliers, with particular focus on:
    o language capability
    o professionalism
    o group handling experience
    • Ensure suppliers clearly understand:
    o group expectations
    o VIP standards
    o briefing notes and service flow
    • Address recurring quality issues proactively before escalation.

    5. Team Leadership & Workflow Control
    • Lead and structure the onshore group & luxury operations team:
    o clear roles
    o clear handovers
    o zero duplication
    • Ensure weekly monitoring of:
    o group readiness
    o VIP booking status
    o supplier confirmations
    • Coach team members to:
    o flag risk early
    o say “this doesn’t work” when required
    o escalate correctly, not reactively

    6. Cross-Department Support
    • Support Japan Sales and Product teams on:
    o feasibility of new group ideas
    o realistic delivery timelines
    o supplier capability
    • Work with Finance on:
    o margin protection
    o group cost tracking
    o post-delivery review of high-value bookings
    • Coordinate with Customer Service on:
    o group arrival periods
    o VIP movements
    o escalation readiness

    • % of group bookings delivered without escalation
